The Operations Supervisor supervises day-to-day transportation operations and courier workforce. They manage all aspects of transportation discipline to include safety and security compliances, route structures and development, personnel scheduling, workload assignments, cost control and metric driven performance. The Operations Supervisor oversees all daily operations of the record center in the most cost-effective and customer-satisfying manner. This leader will coach a high-performance team and adhere to Iron Mountain regulations.

PAY: Annual salary $65,000 - $67,000(Paid biweekly)

SCHEDULE: Monday - Friday ( Weekends as needed)

HOURS: 7:00 AM - 5:00 PM (Expect to be on-call)

LOCATION: 2400 S 7th St, Louisville, KY 40208

RESPONSIBILITIES:

  • Human Resources/Workforce Leadership - Provide daily oversight of transportation operations to ensure high levels of service, production and quality metrics are achieved. Plan staffing levels to ensure adequate coverage. Execute daily reporting mechanisms that provide critical data points to business trends and overall operational performance. Responsible for training, recruiting, counseling, coaching, disciplinary action and writing reviews. Process and approve payroll, time off requests and exceptions. Communicate effectively with the frontline regarding change procedures, initiatives and program roll outs. Responsible for a thorough courier check in / check out process.
  • Operational Excellence, Standards & Compliance – Tracks progress of routes daily (In Control, 20/20, email communicators). Administers the Check Ride Program. Ensures routing technology is used and routes are executed as designed. Manages scanning platform to include proper usage, route id configurations, exception code usage and proper care of equipment. Accountable for variances to plan for all route performance.
  • Transportation Administration / Maintenance - Manage DVIR / BDIR process. Work closely with outsourced vendors to maintain fleet in prescribed manner. Establish and manage proper workflow to ensure daily, weekly and monthly DOT / IFTA reporting and requirements are met. Develops Coordinator and Courier workgroups in the area of policy and procedure as it relates to Transportation Administration and Maintenance.
  • Safety and Security Administration: Ensure safety & security procedures are adhered to.
  • Supervises and assigns specific responsibilities to all operations personnel
  • Motivates, mentors and empowers team to meet and exceed standards or set goals
  • Monitors employee attendance, productivity and other performance markers
  • Effectively uses metrics to aid accountability and measure performance
  • Possesses excellent communication skills
  • Ensures that the branch provides the finest internal and external customer service
  • Builds internal and external relationships; fosters collaboration
  • Provides relief coverage for operational duties when employees utilize time off or are absent
  • Prepares accurate reports
  • Is open to weekend work, if required
  • Ensures compliance of all federal, state and company regulations
  • High school diploma or equivalent; college degree preferred
  • Valid state driver’s license with clean driving record; able to pass pre-employment drug testing and a background investigation as conditions of employment
  • Ability to lift 40 to 50 pounds
  • Minimum of two years’ supervisory experience in a warehouse, distribution, operations or other service-related environment
  • Computer proficiency (Word, Excel, Outlook)
  • Ability to complete paperwork in English accurately and completely
  • Strong attention to detail
  • Strong customer service skills; values customers and communicates with them in a professional manner

QUALIFICATIONS:

  • The Operations Supervisor is the first line management position responsible for the direct leadership of our frontline record center, courier and coordinator groups. The Operations Supervisor provides front line level leadership over all Transportation Operations processes and ensures day-to-day operations are executed with excellence.
  • The Operations Supervisor typically solves problems as it relates to the day-to-day operational workflow. The operations supervisor must be knowledgeable of the local area, the local customer base and the local operation in order to make quick, efficient decisions that impact TCS.
