The Assistant Dispatcher assists with administrative tasks related to planning, assigning, executing, and following up on daily tasks for transportation operations.


  • Communicating client-facing information by confirming upcoming ETAs and scope of work to be executed onsite to clients through pre call/email process.
  • Communicating driver-facing information by organizing all digital and physical work instructions including waybills, photos and special instructions. Reviewing work orders for legibility in printed and digital form.
  • Coordinating through-bill paperwork handoffs with internal departments and third parties.
  • Communicating driver start times daily.
  • Assisting Logistics Superviors in monitoring driver progress on tracking systems and facilitating follow up process.
  • Updating system of record with actual use of labor and materials to close out billing.
  • Assisting drivers with completing computer based training, submission of worked hours, expense reports and other in-office tasks.
  • Assisting completing and maintaining driver qualification files for current drivers and new hires.
  • Calculating and submitting mileage manifest for payroll bi-weekly
  • Maintaining registration and insurance on vehicles.
  • Coordinating vehicles for repair and return.
  • Requesting purchase orders and making purchases at Logistics Managers discretion.
  • Providing general administrative and logistical support to the Logistics Supervisors and coverage as needed.
  • Moving trucks and assisting in the field as needed.

Key Skills, Requirements and Competencies:

  • Administrative support experience in a professional environment
  • Excellent verbal communication, written communication, and proofreading skills
  • Keen sense of accuracy and attention to detail
  • A professional demeanor and the ability to handle matters confidentially
  • Ability to provide excellent internal client service and exhibit a sense of urgency to complete duties in a timely manner
  • Ability to interface well with all levels of employees in a highly professional and friendly manner
  • Proven team player
  • Desire to be part of a rapidly expanding business
  • Proficient in Google Office platforms (Gmail, Google Calendars, other G Suite apps)
  • Ability to adapt to changing software platforms as needed
  • Drivers License and clean driving record
